The client, David, needed a bulletproof way to manage and verify field inspections.

  • The "Ghost Inspection" Risk: Traditional manual logging or standard app-based check-ins can often be falsified, with staff marking locations as "inspected" without actually being physically present.
  • Manual Reporting Lag: Once an inspection was completed, generating a professional report and creating follow-up tasks for identified issues was a manual process that led to significant delays.
  • Accountability Gaps: There was no "immutable" evidence that a staff member had physically reached a specific checkpoint at a specific time.

3. The "How" (The Action)

We integrated Near Field Communication (NFC) technology with AppSheet to enforce physical presence and trigger automated workflows.

  • NFC-Enforced Check-ins:
    • Implemented an NFC tag scanning requirement at every physical inspection checkpoint. The app only allows an inspection form to open when the mobile device is physically tapped against a pre-registered NFC tag.
  • Automated Task Creation:
    • Engineered a logic where scanning a specific NFC tag doesn't just open a form but also automatically generates a "Task Entry" in the database.
    • If an inspector marks a checkpoint as "Failed" or "Needs Attention," the system automatically creates a sub-task for the maintenance team.
  • Instant Reporting Engine:
    • Developed an automated reporting trigger. Upon completion of an inspection round, a professional PDF report is generated and synced to Google Drive, including timestamps and NFC verification IDs as proof of presence.

4. The "So What?" (The Results)
